Example result. Add Tags keeps the existing Business tag.

1Choose the folder to watch

Add your invoice folder, such as Downloads, and grant access. Create an automation for that folder.

2Match invoice PDFs

Create a condition set with File Type set to PDF and File Name containing invoice. Join the conditions with AND, so both must match.

3Choose the tags to add

Create a workflow with Add Tags for Invoices and To review. Other tags already on the file are kept.

4Preview the rule and tags

Preview the conditions with an invoice PDF and a PDF that should not match. Preview the workflow on the matching file to check the tags. Previews leave files unchanged.

5Enable automatic tagging

Assign the condition set and workflow to your automation’s rule. Enable monitoring and keep Taggy Tagger running. New matching PDFs receive both tags automatically.

How the rule works

  • The rule checks filenames and file types. It does not read invoice contents, suppliers or amounts.
  • To review is a tag you apply. The app does not detect whether an invoice has been reviewed.
  • If a matching file changes, the rule can apply To review again. Adjust the conditions if reviewed files should be excluded.
  • Use Play to apply the automation to matching files already in the folder.
